Sutton Lodge Staff and Volunteers Code of Conduct
This Code of Conduct outlines our expectations for volunteers and staff behaviour and responsibilities while working for our charity organisation.
It is important that everybody understands and adheres to these guidelines to maintain a positive and productive work environment and that we may continue to maintain our reputation as a premier day centre.
Professionalism
All personnel are expected to conduct themselves professionally at all times. This includes treating colleagues, clients, and customers with respect, maintaining a neat and appropriate appearance, and acting in a manner that reflects positively on the organisation.
Sutton Lodge expects that all personnel will always use common sense and good judgement to determine whether their conduct is deemed appropriate.
Confidentiality
All personnel must respect the confidentiality of sensitive information they have access to. This includes, but is not limited to, colleagues data, customer data and financial information. Any unauthorised disclosure or use of confidential information is strictly prohibited.
Conflict of Interest
All personnel should avoid situations that create a conflict of interest between their personal interests and the interests of the organisation. If a conflict arises, please discuss with the office manager.
Anti-Discrimination and Harassment
We are committed to providing a workplace free from discrimination, harassment, and retaliation. All personnel must treat others with courtesy, fairness, respect their diversity, and refrain from engaging in any form of discriminatory or harassing behaviour based on race, colour, religion, gender, sexual orientation, age, disability, or any other protected characteristic.
Use of Company Resources
All company resources, including equipment, technology, and facilities, should be used responsibly and for legitimate business purposes only. Personal use of the Charities resources should be minimal and in compliance with applicable policies.
Compliance with Laws and Regulations
All personnel must comply with all applicable laws, regulations, and legal obligations related to their duties. Any illegal activity or violation of these laws can have serious consequences, both for the individual and the organisation.
Reporting Violations
If any person becomes aware of any violations of this code of conduct or witnesses any unethical behaviour, they should report it immediately to the office manager. Retaliation against individuals reporting violations in good faith is strictly prohibited.
Consequences of Non-Compliance
Violation of this code of conduct may result in disciplinary action, up to and including termination of employment or volunteering. The consequences will depend on the severity and frequency of the violation, and the circumstances surrounding it.
Volunteers
• Understand and agree that if accepted as a volunteer, all services will be performed on a strictly voluntary basis, and that I will receive no remuneration, pay or compensation of any kind, that I am not an employee of Sutton Lodge
• Are unable to perform volunteer duties at any time, including the wish to terminate my volunteer relationship with Sutton Lodge, I will notify the appropriate individuals immediately and with as much notice as possible. A minimum of one week would be appreciated.
• Complete the required handover and pass all information needed for Sutton Lodge to continue their work. That any documents, applications and so forth completed for Sutton Lodge will remain the property of Sutton Lodge and should not be used without permission. Once my voluntary period has been terminated, I agree to ensure I have left all relevant Sutton Lodge emails and/or chats. Should I be contacted by anyone unaware of my leaving I agree to politely inform Sutton Lodge who will then take over.
Compliance Courses
In order to be compliant with the regulations governing registered charities and specifically working with the elderly, it is mandatory that staff complete a General Data Protection Regulation (GDPR) and likely a Disclosure and Barring Service (DBS) check.
I shall complete this as soon as I possibly can within the given timeframe as well as any other learning required to perform my volunteer role.
Conclusion
By signing below, I acknowledge that I have read, understand, and agree to abide by the guidelines outlined in this Staff and Volunteers Code of Conduct. I understand that compliance with these standards is a condition of my tenure and failure to comply may result in disciplinary action.
